Quarterly Reconciliation Without a Screen

Many of our Busan clients reconcile their accumulation ledgers on the last Sunday of each quarter — entirely on paper, before they ever connect a hardware wallet to verify balances. Here is the routine several of them share.

Step 1: Gather the quarter’s entries

Turn to the first page of the current quarter in your ledger. Read each acquisition row aloud (or silently, if you prefer) and tick a small mark in the margin column confirming you have reviewed it. This catches skipped rows and duplicate lot numbers before arithmetic begins.

Step 2: Sum on paper

Use the pre-printed quarterly summary spread if your ledger includes one. If not, draw a simple two-column tally on a loose sheet: asset name on the left, running total on the right. Add by hand. Use a calculator only if you must — several clients deliberately avoid screens during this step to maintain the offline discipline.

Step 3: Cross-reference wallet labels

Each hardware wallet in your rotation should correspond to a section or ribbon marker in the ledger. Confirm that the quarter’s entries for Wallet A appear only in Wallet A’s section. Mis-filed rows are the most common source of reconciliation errors we hear about.

Step 4: Write the attestation

On the summary spread, write the closing balance, the date, and your signature. Some clients add a witness line for a spouse or advisor. This page becomes the reference point if you later need to explain your records to counsel or family.

Step 5: Schedule the device check

Only after the paper reconciliation is complete do our clients connect hardware wallets to verify that on-chain balances match their written totals. Discrepancies are noted in the margin of the summary spread with the date and explanation — never erased.

Why paper first

The sequence matters. Starting with the device tempts you to adjust ledger entries to match what the screen shows, rather than treating the written record as the primary source of truth. Paper-first reconciliation preserves the discipline that cold-wallet accumulation requires.
